Lead assignment rules control how new leads are distributed to your team. Slokoto supports four modes, from fully manual to AI-driven, so you can match the assignment strategy to your team's workflow.
Where to configure
Open Settings from the sidebar, then select the Team Assignment tab. Only admins can change the assignment mode.
Assignment modes
Sales Manager
All new leads route to a single designated manager. The manager then manually distributes leads to the team.
- Select which manager receives all new leads from the dropdown
- Best for small teams where the manager wants to review every lead before assigning
Last Active
New leads automatically assign to whichever team member was most recently active in Slokoto.
- Simple recency-based logic
- Good for teams where any available rep can handle any lead
Round Robin
Leads distribute evenly across available team members in rotating order.
- Each rep gets one lead before the cycle repeats
- Can be combined with skill-based routing rules to narrow the pool
Create conditions that filter which reps are eligible for certain leads:
- If a lead's product interest, tags, or deal value matches a condition
- Then prefer reps with specific skills
This turns basic round-robin into smart round-robin — leads still rotate fairly, but only among reps who match the criteria.
AI Smart Assignment
Slokoto evaluates each team member's performance profile and assigns the lead to the best-fit rep.
The AI considers:

AI assignment needs enough data to make good decisions. Each rep must meet these minimums:
- At least 5 handled leads
- At least 2 decisioned leads (won or lost)
- Response time history
- 3 or more actions in the last 30 days
- Profile rebuilt within the last 7 days
The settings page shows each rep's readiness status and what evidence is missing.
Team performance profiles
When using AI or Round Robin mode, the Team Assignment tab shows a performance panel for each rep:
- Win rate and lead volume
- Current workload
- AI readiness status
- Skills and expertise tags
Skill management
Two types of skills are tracked per rep:
- AI-generated (gray) — auto-detected from the rep's activity, read-only
- Manual (blue) — added by an admin, persistent across profile rebuilds
Manual skills help guide AI assignment when the rep has expertise that is not yet reflected in their activity data.
Availability checks
During assignment, Slokoto checks each rep's availability:
- Out of office — if a rep has OOO set with a return date, they may be skipped or flagged
- Working hours — timezone-aware check against the rep's configured hours
- Capacity cap — maximum number of pending leads a rep should carry
If the preferred assignee is unavailable, Slokoto assigns anyway but adds a warning so the team can reassign if needed.
Fallback logic
Leads always get assigned, even if the preferred strategy cannot find a match:
- If AI mode lacks sufficient data, falls back to round-robin
- If all reps are unavailable, falls back to scoring (win rate + response time + workload + expertise)
- A lead is never left unassigned
Gmail discovery
When Slokoto discovers a new lead from a Gmail inbox, it assigns the lead to the inbox owner by default. If multiple team members have communicated with the same lead, all of them appear in the lead's assignee list.
First responder rule
When a rep completes a todo for a lead that has multiple assignees, Slokoto narrows the assignee list to just that rep. This ensures ownership goes to whoever acted first, avoiding confusion about who is handling the lead.
Manual reassignment
You can always reassign a lead manually, regardless of the active assignment mode:
- Open the lead in Lead View
- Click the Assignees dropdown in the sidebar
- Select one or more team members
- The change takes effect immediately
Manual reassignment overrides the automated assignment for that specific lead.
Tips
- Start with Sales Manager mode if your team is new to Slokoto, then graduate to Round Robin or AI
- Use skill-based routing rules with Round Robin for product-specialized teams
- Keep rep profiles up to date — rebuild manually if a rep's recent activity has changed significantly
- Set capacity caps to prevent overloading top performers
- Configure working hours and OOO status in each rep's profile to improve assignment accuracy
