Team Management

Manage your team members, invite new users, and control who can access what within Slokoto.

What it does

The Team page allows workspace administrators to:

  • Invite new team members with specific roles
  • Manage existing members and their permissions
  • Track seat usage and billing implications
  • Deactivate members who no longer need access

Key roles

Slokoto has three roles that determine what each team member can do:

Admin

  • Full access to all features
  • Can invite/remove team members
  • Can configure integrations and billing
  • Sees all Todo, History, Activity, and Dashboard data

Manager

  • Can view team-level data (not just their own)
  • Can reassign actions between team members
  • Can access the Dashboard with team metrics
  • Cannot configure billing or integrations

Rep (Representative)

  • Works on their own assigned actions only
  • Views their personal History and Activity
  • Cannot see other team members' work
  • Cannot access team settings

Visibility settings

Each user has a visibility scope that controls what data they can see:

  • Admin → Workspace
  • Manager → Team
  • Rep → Private

How to use it

Opening the Team modal

  1. Click your avatar in the top-right corner
  2. Select "Team" from the dropdown menu
  3. The Team modal opens with your current members

Inviting a new member

  1. Click "Invite Member" button
  2. Step 1 - Details:
    • Enter their email address
    • Optionally add their name
    • Select their role (Admin/Manager/Rep)
    • Visibility is auto-set but can be changed
  3. Step 2 - Billing:
    • See current seat usage
    • If no seats available, approve the additional cost
  4. Step 3 - Confirm:
    • Review the permissions summary
    • Click "Send Invite"

The invitee receives an email and appears in the Invites tab until they accept.

Viewing member details

Click on any member row to open their details drawer:

  • Overview: Role, visibility, status, last active
  • Permissions: What they can and cannot do
  • Actions: Deactivate or reactivate the member

Changing a member's role

  1. Click on the member to open details
  2. Click "Edit" in the Overview section
  3. Change the Role dropdown
  4. Click "Save"

Role changes take effect immediately.

Deactivating a member

When someone leaves the team:

  1. Open their details drawer
  2. Click "Deactivate Member"
  3. Choose what happens to their open actions:
    • Move to Unassigned: Actions go to a queue for reassignment
    • Reassign to member: Pick someone to take over
  4. Confirm the deactivation

The member loses access immediately but their history is preserved.

Billing & seats

  • Each active user requires one seat
  • Your plan includes a certain number of seats
  • Adding members beyond your limit increases billing
  • When inviting, you'll see the cost impact before confirming
  • Deactivating a member frees up their seat

Tips

  • Start reps with Private visibility - they only need to see their own work
  • Make team leads Managers - they can help reassign work without admin access
  • Keep Admin count low - only people who need billing/integration access
  • Deactivate instead of deleting - preserves audit history and allows reactivation
  • Review pending invites - resend or cancel invites that haven't been accepted

Frequently Asked Questions

Q: Can I have multiple Admins?

A: Yes, you can have as many Admins as needed. All Admins have the same permissions.

Q: What happens to a member's actions when they're deactivated?

A: You choose during deactivation - either move to an unassigned queue or reassign to another team member.

Q: Can I change someone's role without affecting their current work?

A: Yes, role changes only affect what they can see and do going forward. Their past actions remain attributed to them.

Q: Do pending invites count against my seat limit?

A: No, only active users count against seats. Invites don't use a seat until accepted.

Q: Can a Manager invite new team members?

A: No, only Admins can invite/remove team members.
